Tours booked online through our scheduler with a listed duration and standard pricing.

Private Custom Charters

Custom trips requested through an inquiry form and confirmed after review of logistics and conditions.

Departure Time

The scheduled start time of your tour or confirmed charter.

Scheduled Tours Cancellation Policy

Cancel More Than 72 Hours Before Departure

  • You will receive a full refund, minus any non-refundable processing fees charged by the payment processor or booking platform.

Cancel Within 72 Hours Of Departure

  • No refunds.

  • This includes changes in plans, travel issues, illness, weather discomfort, and similar circumstances.

No-Shows

  • No refund.

  • If your group does not arrive and check in by the required time, the booking is forfeited.

Rescheduling Policy For Scheduled Tours

More Than 72 Hours Before Departure

  • We will do our best to reschedule your tour to another available date and time.

  • If your new date is more expensive, you pay the difference. If it is less expensive, standard refund rules apply.

Within 72 Hours Of Departure

  • Rescheduling is not guaranteed and may be treated as a cancellation.

  • If we can accommodate a change, any reschedule fees, price differences, or restrictions will be disclosed before confirmation.

Weather And Safety Policy

Captain Decision Authority

The captain makes the final call on:

  • Whether the trip runs

  • Departure location and route

  • Stops and activities

  • Early return if conditions change

These decisions are made for safety and to deliver the best possible experience given real conditions.

Captain Cancels Due To Weather Or Safety

If Coastal Passages cancels because conditions are unsafe or not feasible:

  • You may choose a full refund or a reschedule credit for a future date.

  • We will communicate as early as possible, but some calls must be made close to departure.

Weather Discomfort Is Not A Cancellation

Wind, temperature shifts, cloud cover, and choppy water can happen. If conditions are safe but not ideal, the trip may still run with route adjustments.

Sunset And Wildlife Are Not Guaranteed

  • Sunset quality depends on cloud cover and visibility.

  • Wildlife sightings are never guaranteed.

    These factors do not qualify for refunds.

Route Changes And Activity Changes

Routes and activities may change due to tide, wind, visibility, boat traffic, or safety considerations. A route change is not a cancellation.

Examples of normal adjustments:

  • Choosing calmer water

  • Skipping a sandbar landing if it is unsafe

  • Repositioning for better visibility or comfort

Late Arrival Policy

Arrival Timing

Plan to arrive 15 minutes early for parking, gear, and a short safety briefing.

If You Are Running Late

Contact us immediately using the number provided in your booking email.

What Happens If You Arrive Late

  • Your time on the water may be shortened.

  • If you miss departure, the booking may be treated as a no-show with no refund.

Departures And Meeting Points

Your meeting point is confirmed in your booking email.

Meeting points can change due to conditions. When changes are required, we notify you directly by text or email whenever possible.

Private Custom Charters Cancellation And Weather

Charter Confirmation

Charters are confirmed after we review timing, conditions, and logistics. Because each charter is custom, the final cancellation terms are included in your written charter confirmation.

Captain Weather Cancellation For Charters

If the captain cancels due to unsafe conditions:

  • You may choose a full refund or reschedule credit, as outlined in your charter confirmation.

Route And Stop Adjustments

As with tours, route and stop adjustments for safety or conditions are not a cancellation.

Refund Processing

  • Refund timing depends on your bank and payment processor.

  • Non-refundable processing fees charged by third-party platforms are not controlled by Coastal Passages and are not refundable.
